The Student Complaint Process is for student complaints about administrative decisions, as well as student complaints concerning teaching and learning, other than those involving grades and formal human rights complaints. At any point in the process, you may contact the Office of Student Support for guidance and support.

You are encouraged to talk to the instructor first in order to resolve the issue.

If you're not satisfied at Step 1 or if the circumstances of the complaint make it difficult or impossible to meet with the instructor, you should take your complaint to the Departmental Chair. The Chair will meet with the instructor or the instructor and the student together if appropriate, to discuss the complaint.

If the instructor is the Departmental Chair, you should take your complaint to the Dean.

Although not required at Step 2, you're encouraged to summarize briefly your complaint in writing for discussion with the Chair or Dean.

Step 3 - Register complaint with Dean's office

You may meet with the Dean without preparing your complaint in writing. However, the complaint will not proceed through the formal process if you do not provide the complaint in writing giving relevant details. You should include a suggested remedy.

Formal complaint process

Step 4 - Complaint in writing to Dean's office

If not resolved at the informal level, you should prepares your complaint in writing, submit it to the Dean's office and arrange an appointment through the Assistant to the Dean. A copy of the formal complaint will be provided to the faculty member.

Decision review process

Step 6 - Review by the Vice President Education

If you're not satisfied with the decision of the Dean, you have one week (7 calendar days) to deliver a letter requesting a review of the Dean's decision, with the complaint in writing attached, to the Vice President Education's office.

Academic Appeals

Camosun College recognizes the right and responsibility of its faculty/instructors and staff to assess student performance and impose discipline in appropriate circumstances. The College also recognizes the right of students to be assessed in a manner that is fair, just and reasonable and to have sanctions imposed in proportion to the nature and seriousness of their conduct.

The College is committed to the provision of a fair and timely appeal process through which student concerns regarding final grades and imposed discipline can be addressed. Students have access to a multi-stage process within their Schools for appealing a decision regarding a final grade or imposed discipline.

For support in filing an academic appeal, please review the Student Appeals Policy (E-2.4) and contact the Ombudsman. Please note that the First Stage Appeal must be initiated by the student within ten (10) working days of the official posting of the final grade or imposition of discipline.

Non-Academic Conduct

The College recognizes the considerable effort on the part of students to establish and meet their educational goals. To enhance students’ opportunity for success in meeting their educational goals, the College expects members of the College community to act toward each other in a manner that contributes to a positive, supportive and safe learning environment.

Students should familiarize themselves with the Student Conduct Policy (E-2.5). This policy covers all students enrolled in a College course or program, on or off campus, as well as prospective students, while engaged in college related activities. This policy does not apply to conduct related to harassment, which is covered under the Respectful Workplace Policy (O-5.10), nor incidents of sexual violence and/or misconduct, which are covered under the Sexual Violence and Misconduct Policy (E-2.9).
